YOUR INFORMATION

A clear view of what you share.

HelloHapi is a private recruitment workspace for hiring briefs, CVs, candidate reviews, deadlines and interviews. This notice explains how the workspace and optional Google Calendar connection use information.

Information in the workspace

We store the identity information needed to sign you in and apply your invited role, along with the briefs, candidate details, CVs, notes, assessments and bookings submitted by your team. Workspace access is limited by account and role. Authorized operators maintain the service, its security records and backups.

When someone asks the AI assistant to review collected CVs, relevant CV text and role requirements are sent to the configured AI service. Its assessments are drafts for human review. Candidate selection and published rankings remain human decisions. Upload only information your team is authorized to process.

Your optional Google connection

Connecting a calendar is separate from signing in. With your Google consent, we receive your Google account identifier and verified email address, and create a secondary calendar called KaizenOS Interviews. We store its identifier, synchronization records and an encrypted authorization token so the service can keep bookings current while you are away.

We request access to calendars created by this app, not your personal appointments. The connection copies this workspace’s confirmed interview titles, candidate names, times, time zones and meeting locations into your connected account. Changes and cancellations flow from HelloHapi to Google. It does not read your personal availability, send guest invitations or import Google edits into the portal.

Copies are held by Google under your account’s settings and may be accessible to your organization’s administrators. Other workspace members connect their own calendars; your Google connection does not grant them access to your personal calendar.

Google connection data is used to provide and secure this integration. It is not sold, used for advertising, sent to the CV assistant or used to train AI models. Our use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.

Disconnecting and removing information

In Interviews, choose “Disconnect & remove copies” to stop new exports and request removal of the interview copies created by the connection. Losing workspace access also requests this cleanup. Once cleanup finishes, the live refresh token is erased. If Google no longer allows access, we erase that token and explain that copies must be removed manually. Personal events and calendars are not deleted.

You can also revoke the connected application’s access from your Google account connections. Revoking Google access can prevent automatic removal of existing interview copies. Disconnecting does not delete the original recruitment records, connection identity history, security records or existing backups.

For access, correction, deletion or retention questions, contact the workspace owner at youbadawy@gmail.com. We will review the records involved, the requester’s authority, and applicable retention obligations.
